One of the world’s leading car manufacturers, this renowned Japanese business offers a wide range of models and specs, sold and driven all over the world.
We were tasked with supplying glovebox documentation kits for every Toyota model delivered throughout Western, Central and Eastern Europe. Each country had to be able to order kits for their own region on a weekly basis, with delivery of the kits into the respective country four weeks later. The kits primarily comprise an outer wallet containing a User Guide, Service & Warranty Booklet, Eurocare Booklet and Eurocare sticker, with a few exceptions where certain countries take additional parts.
MBM set up an Online Ordering Tool (OOT) whereby each country had one individual responsible for ordering the glovebox documentation kits for their specific region. Each of these nominated people had a separate login and password for the Online Ordering Tool, and only had visibility of kits pertaining to their own region (i.e. Holland can only order Dutch kits as these are the only ones visible to them on the OOT).
The Bill of Materials (BOM) for all the models is controlled by Toyota and sent to MBM every time there’s a change to it. Since we started in late 2017, we’ve created over 18,000 different part numbers referenced to Toyota: 4,000 them still ‘live’ due to continual up-revs which we control through the BOM structure. This is an automated process, with the customer BOM file uploading to MBM systems, synchronising with the MBM BOM structure, then generating exceptions where no match occurs. We currently produce glovebox documentation kits for 34 models in 30 language variants.
Following a month-end reconciliation process, a single monthly invoice is raised for all kit deliveries across Europe, with MBM providing a summary and detailed values for sales, VAT and Intrastats. The KPI on delivery performance is currently 99.7% for Glovebox Documentation Kits and 99.24% for print-on-demand parts.
The contract was extended for a further three years in 2021 and has just been extended for three more, commencing in February 2024.
